2. What this notice covers
This notice explains how we collect, use, store and share personal information about candidates, applicants, temporary workers, prospective workers, clients and people who contact us through our website.
3. Information we may collect
Depending on the service and stage of recruitment, this may include name, contact details, location, employment preferences, availability, work history, qualifications, training, skills, CV information and communications with us.
We may request additional information later where it is necessary for a particular role or legal requirement, such as identity, right-to-work, references, professional registration, DBS or other pre-employment checks. We will seek to collect only information that is necessary and appropriate for the purpose.
We do not ask candidates to upload passports, DBS certificates, bank details or other highly sensitive documents through the initial registration form unless we have a specific and lawful reason to request them.
4. How we use personal information
- to receive and manage applications;
- to assess suitability for vacancies and staffing opportunities;
- to contact candidates about suitable roles and recruitment stages;
- to provide candidate information to relevant clients where appropriate for recruitment;
- to arrange interviews, references and appropriate pre-employment checks;
- to manage temporary assignments where applicable;
- to meet legal, regulatory and contractual obligations;
- to maintain recruitment records and improve our recruitment service; and
- to protect our website, systems, people and business from fraud, misuse and security threats.
5. Lawful basis
We will identify and document the appropriate UK GDPR lawful basis for each processing purpose. Depending on the circumstances, this may include steps requested by an individual before entering into a contract, legitimate interests, compliance with a legal obligation, or consent where consent is genuinely the appropriate basis.
We will not treat consent as a universal lawful basis for recruitment processing. Where special category or criminal-offence data is processed, an additional lawful condition will also be required.
6. Sharing information
We may share relevant information with prospective employers or clients, service providers who process information on our behalf, professional advisers, screening/checking providers and public authorities where this is lawful and necessary.
We will not sell candidate personal information.
7. CVs and candidate records
CVs and candidate records should be stored in systems with access controls appropriate to the information involved. Candidate information should not be placed in a publicly accessible directory or exposed through a public CV URL.
8. Security
We use appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. These measures may include encryption in transit, access controls, authentication, restricted administrator access, secure storage and monitoring/testing appropriate to the systems we use.
No online service can guarantee absolute security. If we become aware of a personal-data breach, we will assess and handle it in accordance with applicable data-protection requirements.
9. Retention
We will keep personal information only for as long as it is necessary for the purpose for which it was collected, taking account of legal, regulatory, contractual and legitimate business requirements.
Where a candidate asks us to retain their details for future opportunities, we will apply a defined retention period and review the information regularly. Information that is no longer required will be securely deleted or anonymised where appropriate.
10. Your rights
Subject to applicable legal conditions and exemptions, you may have rights including access, rectification, erasure, restriction, objection and data portability. Where processing is based on consent, you may withdraw consent, although this does not affect processing carried out before withdrawal.
To exercise your rights, contact privacy@suvirarecruitment.co.uk.
11. International transfers
If personal information is transferred outside the UK, we will use an appropriate lawful transfer mechanism and provide the information required by applicable data-protection law.
12. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can investigate. You also have the right to complain to the Information Commissioner's Office (ICO).

We may update this notice when our services, systems or legal obligations change. The latest version will be published on this website.
