Suvira Recruitment
Candidate Data Retention Schedule
Suvira Recruitment is operated by Narina Group Ltd (company number 17495068), 34 George Street, Eastleigh, Hampshire, SO50 9BU.
The UK GDPR does not prescribe one universal recruitment retention period. The periods below are proposed operational periods and must be reviewed against the actual business needs, legal claims, contractual obligations and any sector-specific requirements.
| Record | Proposed period | Action |
|---|---|---|
| Initial candidate registration | 12 months after last meaningful recruitment activity | Review, then delete or anonymise unless a lawful reason to retain exists. |
| CV and recruitment profile | 12 months after last meaningful recruitment activity | Review and securely delete if no longer required. |
| Candidate who joins a temporary assignment | For the duration of the engagement plus the period required for legal, payroll and compliance purposes | Apply the relevant worker/assignment retention schedule. |
| Pre-employment vetting documents | Only as long as necessary for the particular purpose | Securely destroy intrusive vetting material when no longer necessary; retain outcomes where justified. |
| Requests to retain details for future opportunities | Up to 12 months, then review | Reconfirm/refresh where appropriate or delete. |
Secure disposal
Electronic records should be securely deleted from active systems and associated storage where appropriate. Physical records should be securely destroyed. Backups should be subject to an appropriate lifecycle and should not be used to circumvent the retention schedule.
Review
This schedule should be reviewed at least annually and whenever the recruitment service, technology, legal requirements or categories of personal data change.
